The Update Fitness Database for Reporting to State is used to create a database whose structure has been defined by the state. This database will contain certain student data and physical fitness test results for physical fitness reporting. To create the database, click the mouse on the Update Fitness Database for Reporting to State option. The following form will display.
The Ethnic Codes currently utilized in the STU.EC must be converted to the Fitness.mdb Ethnic Codes. The STU.EC codes will display in numeric order but to convert these codes the order must be changed to match the Fitness.mdb Ethnic Codes on the right.
NOTE: The current grades required for physical fitness testing by the state are grades 5, 7 and 9. This program will not create a database for any other grades.
To select the correct Ethnic Code click the mouse on the drop down arrow under the STU.EC column. A listing will display with the Ethnic Code and Name. Click the mouse on the code selected. The example below displays on the left the STU.EC as 6 Black not Hispanic. The matching Fitness.mdb Ethnic Code on the right is 1 African/African American, which would match the STU.EC code. When the Fitness.mdb is created all STU.EC codes that equal 6 will be converted into the fitness database as code 1.
After ALL STU.EC codes match the Fitness.mdb Ethnic Codes verify that Path to the Fitness database at the bottom of the form is correct. The Grade to update will automatically default to the proper grade. Click the mouse on the Create button. If a Fitness.mdb already exists, the following message will display. To backup the current Fitness.mdb click the mouse on the Yes button. To delete the current Fitness.mdb click the mouse on the No button
If the No button was selected the following message will display. To continue click the mouse on the Yes button
A message will display indicating the Fitness database has been updated with the number of students and the number of ethnic codes that did not convert properly and are code 0 in the Fitness database. Click the mouse on the OK button.
