Course Data

The Course Data form displays information about courses previously taught, currently being taught and that will be taught in the upcoming semesters. Courses previously taught are referred to in the History (transcript) table. Courses currently being taught are referred to in the current Master Schedule table and courses to be taught are referred to in the Scheduling Master Schedule table. The Course table contains the name of each course, and other relevant information. The Course ID is used in other tables and must always be present in the Course table.

The basic definition of a course (e.g. Title, N/A, Subject Area, etc.) must NEVER be changed unless it is absolutely positive that the course in not referenced anywhere. If course information is changed and it is still used such as in the History table it will be changed on the student’s transcripts.

The report Print Courses Not Used should be run to determine if a course is not used anymore in the current database.

Note: Course "number" is a misnomer, since it may contain letters or numbers in any combination up to six characters. If numbers are used leading zeros must be entered when typing the numbers. For example, course number 0001 is not the same as course number 1. If four digit numbers are used always enter four digits.

The Course Data form will display all classes setup in the current Master Schedule. It also displays total sections, total maximum size (total seats available) and total actual students. When the SMS classes are displayed the total requests for this course and total students rejected from this course will also display.

 

Course Display Sequence

The Course Display Sequence option allows the sequence of the course records to be displayed either by course number or course name. The default sequence is by course number. To display in alphabetical sequence by course title click the mouse on the circle to the left of the By Course Title option. The Get function uses this option to determine which sequence the courses are selected, either by course number or course name.

Schedule Display Selection

The Schedule Display Selection determines which master schedule data is to be displayed. The default is the regular Master Schedule with all current class information displayed. To display the class information in the Scheduling Master Schedule or SMS table, click the mouse on the SMS Classes tab.

In both the MST and SMS schedules the Track, Group, Grade Range, and Maximum can be changed for the classes displayed. Click on the field to be changed and type the new data into the field selected. Press Enter to update the change. This can be very helpful during the scheduling process, when you look up courses using this form, and want to change the maximum class sizes for the sections offering this course.

Note: Be very careful when making changes to any course data. Changes to course data can affect students currently enrolled, students who have taken the course in the past and students being scheduled into the next semester classes.

 

The Delete function is used to delete courses that are no longer needed. However, it is highly suggested that a Course be flagged as Inactive in the Tag field instead of being deleted.
