11/4/2014 Create CALPADS Extracts - The SINF extract has been updated to extract new students. Also, a SELA ODS Import as well as a process to update new fields in LAC (LAC.EAC and LAC.EAD) have been added. These new fields will be populated with the ELAS code and ELAS date from CALPADS. The processing of the SELA extract will look at these fields to determine if a student needs to be extracted. The SELA extract has been updated to also extract "TBD" students when needed. The SENR extract has been modified to translate 440 exit codes, originated by a grade change or inter-district transfer, to E150. CALPADS Data Submission
7/25/2014 There are many changes to CALPADS for the 2014/2015 school year including significant file format changes. Aeries versions dated July 25th, 2014 and later will accommodate the changes and will align with new specifications and codes sets. 5/30/2014 The Client Server rollover process has had many enhancements in this update. There is a new Update Scheduled Processes form available from the New Year Cycle. 5/6/2014 The Aeries SPRG ODS Reconciliation document gives step-by-step instructions on how to complete the CALPADS SPRG ODS Reconciliation process with Aeries. The SPRG ODS Reconciliation process will analyze the SPRG data in CALPADS and provide the submission records necessary to match CALPADS to your local data. All districts will need to run the process to align CALPADS records with Aeries. The SPRG extract will now include actual program start and end dates for program records. 3/28/2014 Smarter Balanced Assessment Consortium (SBAC) - CAASPP/TIDE form has been renamed to include additional acronyms "CAASPP" and "TIDE". It has also been redesigned to no longer require students be loaded into the SBAC Pre-Id table (PSB) to run the report or extract. 3/14/2014 Smarter Balanced Assessment Consortium (SBAC) – Renamed the Smarter Balanced Pre-Identification Form to Smarter Balanced Assessment Consortium (SBAC). Modified the Print Smarter Balanced Cards to not print Student Last Name and added an option to include the ID, SN, no number, or birthdate on the cards. Also added an option to sort by First Name only. The Create File will update the Test Settings template file provided by SBAC TIDE. Test Settings for Smarter Balanced Assessment
2/28/2014 In order to assist districts in preparing for the CA Assessment of Student Performance and Progress (CAASPP) / Smarter Balanced field test this year, Eagle Software has released a change to the Aeries Test Scores form. A new tab for "Test Settings" is now available that can be populated for each student. Additionally, an extract will soon be made available to import this data into the TIDE system. This information is stored in the "STS" table in Aeries. This screen will also be added soon to Aeries.net.
2/21/2014 Attendance data entered via Aeries.net, Aeries CS and ABI will now be stored in Attendance History tables that will roll from year to year. This will enable districts to analyze longitudinal attendance data. For more information please refer to the documentation: Attendance History

9/24/2013 Keeping with the recent trend of enhancements to Aeries in support of modern grading concepts and Common Core readiness, Eagle Software just released changes to Aeries.net that allow for Standards-Based Grade Reporting in Secondary Schools. This innovative feature allows schools to define which standards (either local or common core) are linked to a course and then identify which of those standards should display on the report card. Secondary Teachers can link their assignments to one of more standards and give either a traditional or rubric grade for each assignment and standard. Documentation is available on the Online Help or our website. Scheduled for release by the end of September is the actual Secondary Standards-Based Report Card. Eagle Software is working with early adopters of this long awaited feature to provide feedback on the need for additional features. 9/13/2013 Standards Based Grade reporting now allows the report card layout to differ between grade levels! This means that a Kindergarten report card could be 3-Mark Landscape, but a First Grade report card is 4-Mark 2-Column Portrait. This allows for more flexibility in designing report cards by grade level. This enhancement has been made simultaneously in Aeries CS and Aeries.net. Standards Based Grades
8/2/2013 The District STAR Test Results program has been updated to support the 2013 Data File Layout and a new version is available on our web site. The form now allows user selection of which File Layout to load to avoid the wrong year being automatically selected based on file size. 5/31/2013 The Load STAR QTR File document assists the District or School with loading the STAR Quick-Turnaround Reporting (QTR) file for the 2013 Standardized Testing and Reporting (STAR). 2/26/2013 Major changes were released for the Assertive Discipline form. Previously, each Assertive Discipline record could only store 3 different Disposition codes and there was only one set of related disposition fields for all 3 dispositions. 8/17/2012 The STAR Test Results program has been updated to support the 2012 Data File Layout and a new version is available on our web site. A major temporary change in this version will now only load the test scores from Record 1. An updated version will be available to allow you to separately load Record 2. 8/15/2012 Students and Student Enrollment Form - rearranged address fields so that Residence Address is collected before Mailing Address, and added a "Same" checkbox to facilitate easier duplication of data in the two sets of address fields. Please note that logging into this version will automatically populate blank Residence Address fields with the corresponding Mailing Address fields.
8/15/2012 Emergency Contacts - added ability to tag Contact records to display on the Students form where Fathers Work and Mothers Work display via a new "Link" button. Note - this option is only available if the new LOC Rule is enabled. There is a macro "Update Contact Links Based On Student Father/Mother Work Phones" that can be run to auto-populate links with existing data.

6/29/2012 CAHSEE Pre-Identification Form (SCH and DST) - the program has been updated according to the new requirements of the May 2012 layout. The ASAM Schools and English Learner Services fields have been removed and are no longer included in the file. The "RFEP student scored proficient or advanced 3 years on ELA" will now use the CST and CMA test scores in calculating this field.

Changed the date range that would be loaded in the Date First Enrolled in USA and Most Recent CELDT Administration. Also, changed the grade range that would be loaded into the Student's Grade During Most Recent Previous CELDT Administration.

5/18/2012 The View All Reports and View All Forms have had some major enhancements done. The form now contains a drop down list that allows you to select different categories of forms/reports to be displayed. A new option is also available that will allow you to select Favorite forms/reports that will display in its own category. Also, the option to Exclude Elementary/Secondary reports is now available and when selected will not display these programs in the list.
5/4/2012 Import Fixed Length Files now has the ability to load the new PFT12 layout containing Physical Fitness test scores for the Educational Data Systems (PFT12EDS). This layout from EDS includes pass status for each category and will update the Physical fitness Test Pass Flags. Import PFT Files 2012
5/4/2012 Query Load - School version has new enhancements for saved query statements. The form has been increased for better visibility and every other row is now highlighted. Queries can be flagged as favorites and limited to display only your favorites. The option is also available to limit queries containing specific tables. 4/27/2012 The Create CALPADS Extract form has been updated with an EOY (BETA) tab. The EOY (BETA) tab will allow users to create the following files for the End of Year Submissions: CRSS (Course Section), SCSC (Student Course Section Completion), SDEM (Staff Demographics), SDIS (Student Discipline), SWAV (CAHSEE Waivers) and SCTE (Student CTE) files. 4/13/2012 The Students Multi Data Profile - School (Client Server ONLY) has been modified to allow a school to view public profiles that have been created at other schools. An option is also available that will filter profiles to only display the ones that are within the schools grade range. 4/6/2012 A new version of the Students Multi Data Profile is now available from the District (Client Server ONLY) that will allow users to create Multi Data Profiles at the district as well as to share the profiles with the schools. The options available are similar to those found in the school version, which include creating colored graphs, customizing the width of each bucket, printing the Test grade below the scores, copying or deleting profiles, and pulling rubrics scores from TNP for specific tests when needed. 1/27/2012 Standards Based Report Cards now include the option to print Language Assessment information and contain additional language support for translating Mark Types. 1/13/2012 Carl Perkins E2 for the School version did not require any changes to be made according to the State layout for the E2. The main change is the use of the HIS table to determine valid students and the FRE table instead of the FRM to calculate the Economically Disadvantaged. Unlike previous versions, the participation or eligibility dates will be evaluated to determine Free and Reduced eligibility. Also, any CALPADS translations for FRE will be honored.
1/13/2012 Carl Perkins E2 report and Detailed report can now be generated from the District level but ONLY from the Client Server version. The setup options include the selection of schools to be included in the reports and the option to generate totals for each school or totals at district level. 12/16/2011 Student Groups is a new form to create/maintain groups of students. This form will allow you to enter students by selecting them by Student#, Permanent ID, name, or by using Query to generate a KEEP/SKIP statement. For more details refer to the documentation. Student Groups
12/16/2011 Victims and Witnesses is a new form that will allow you to store and track information for a student who was a victim or witness to harassment or other offenses. 9/23/2011 Carl Perkins can now be generated at the district level but from only the Client Server version. The District version can generate detailed information for either each school selected or an aggregated district total. A new option that has been added to the School and District version is a grade range selection. It was stated by CDE that the Carl Perkins totals can ONLY include grades 7 - 12. The grade range option will only allow grades 7-12 since it was noticed that some Middle Schools have 6th graders enrolled in ROCP courses and they CANNOT be included in this report. 9/16/2011 The Carl Perkins 2010-11 CDE 101 E1 report for the School version has been modified according to the new file layout. The major change to the report is that the FRM table will no longer be used for calculating the Economically Disadvantaged sections of the report and will now use the FRE table. Also, any CALPADS translations for FRE will be honored. The use of the HIS table will now be used to select students for the report instead of CAR. Documentation will be available soon. 9/9/2011 The Secondary and Standard Based Report Cards have been updated to print headings and labels in Spanish if the students Correspondence Language (STU.CL) is Spanish. 7/29/2011 Course Attendance Start and Stop dates will now be pre-populated for the entire year for all sections in a student's schedule! 7/1/2011 The Streets form has been enhanced to allow school codes to be defined for each grade level. This will allow schools to define which school code a student should be enrolled at based on their grade level, and their next school based on their next grade. 5/13/2011 The Push and Pull Setup Tables form is a new form that will allow users to mass move records in a table between schools. 3/18/2011 Students Multi Data Profile - major modifications have been made to the Multi Data Profile program. It has been updated to now store the profiles within three new tables: MDP, MDF and MDL to easily maintain the profiles in the system. 2/22/2011 Class Scheduling has been updated with a new Permanent Lock field which can be set on a student by student basis. 2/11/2011 The CAHSEE Test Results program has been modified to support the new 2010 Data File Layout that is dated January 6, 2011. This layout can now be used in Aeries to import CAHSEE test files from December 2010 - May 2011. A new layout was also added that will accommodate the June 2010 - November 2010 tests which utilizes the previous layout. 1/28/2011 Query has been enhanced to include methods to return parts of date fields using ".DAY", ".MONTH", ".YEAR" or ".YEARS" after a date field. New Comparison commands have also been added for Greater Than or Equal To and Less Than or Equal To.
1/14/2011 Carl Perkins 2009-10 CDE 101 E2 report has been modified according to the new January 2011 layout. The major change is that the E2 report will now print two new columns under Further Education and Training. This will allow data to be entered either by the District or the School. The data can then be accessed by the District or School IF a user is given any permissions to the FRE table. With the new table multiple records can now be stored, allowing a history of prior values to be viewed. A new Report has also been created to print all students free and reduced records. 7/2/2010 Many new fields have been added to the Student (STU), Attendance (ATT), and Enrollment History (ENR) tables to help with CALPADS reporting. The "End of Year Next School", "Summer Withdrawal Next School", and "Summer Leave Date" fields in the STU table will help with Alternative Ed schools needing to report "Next School" to CALPADS for Summer and End of Year Withdrawals. The Summer Leave Date field can be used identify the leave date for "SWR" students who return during the school year. It is now OK to leave the SWR value for returning students as long as the Summer Leave Date field also remains populated.

Additionally, "Reporting Home School" and "NPS School" fields have been added to ATT and ENR to enable keeping a history of this information as it changes throughout the school year. This information will pull from STU.HS and CSE.SS respectively and the CALPADS extract has been changed to pull this information from the ENR table.
6/18/2010 The Special Education Data form has been modified to include the new Parent Input field from the CASEMIS June 2010 Layout. The Import CASEMIS Extract and the Create CASEMIS Student File was also modified to handle this new field from the CSE table.

5/21/2010 The CAHSEE Pre Identification Form has been updated according to the 2010-11 layout of April 30, 2010. The main change was that the Student's English Proficiency codes were modified that are now loaded into the Pre-ID file. The codes are now EO-English Only, IFEP-Initially Fluent English Proficient, EL-English Learner and RFEP-Reclassified and Fluent English Proficient. They have also included a new code TBD-To Be Determined.

5/5/2010 Civil Rights Data Collection Options - (District Version) a NEW Civil Rights Setup form is now accessible with the new requirements for this year. There are four tabs: Schools tab that allows you to select schools to be included in the calculation, Code Locations/Dates and the Math & Science Courses tab used to define the settings required to load the information, and Views that allows you to display each table calculation as well as each student's details used for these calculations. 4/23/2010 Civil Rights Data Collection Options - (School Version) major enhancements have been made to the Civil Rights Setup form due to the new requirements for this year. 1/15/2010 Carl Perkins 2008-09 CDE 101 E2 report has been modified according to the new specifications. A major change is that the E2 report will only include students who are flagged in the new SSD.E1 field. The students flagged in the SSD.E1 field are the students that need to receive a survey. This field can only be updated by generating the E1 report. Even though you have previously run the E1 report it must be generated again prior to running the E2. After the SSD.E1 field is populated, this field can be used to generate Surveys and Address Labels in Query for the students flagged.
12/8/2009 STAR Pre-Identification Form - The new STAR Pre-ID layout requires the new Hispanic/Latino indicator and new Race fields to be loaded into the STAR Pre-ID file. The program has been modified to handle loading the new Ethnicity (STU.ETH) and Race (STU.RC1 - STU.RC5) fields if located in the student record. If there is no student data in these fields the old Ethnicity code fields will be converted into the new STAR Hispanic/Latino Indicator and Race fields. When the Writing Wave file is created the only grades loaded will be grades 7 or 11. The grade ranges have also been modified according to the layout for students who will be assessed with CMA. A new button has been added to the form that will verify fields subject to monetary penalties if 3% or more are blank. A School tab has been added to the form to allow the selection of schools to be included when calculating the DISTRICT Continuously Enrolled flag. The calculation was processing all schools in the Enrollment (ENR) table. Therefore, students enrolled in summer or intersession schools that left before the end of that school's calendar, would be considered as Not Continuously Enrolled in the District. Please note that this affects any district running STAR Pre-ID that has summer or intersession schools.
12/8/2009 The Create CASEMIS Student File form has been modified to process the new December 2009 (New Ethnicity Fields Edition) CASEMIS extract format. Eagle Software is ONLY supporting this format, as we encourage all users to be populating the new Race and Ethnicity fields, and convert old to new on the fly if they are not.
11/20/2009 The CELDT Student Test Results is a new report that will print results from the CELDT test scores for the Test Year and Testing Administration selected. This report will include the Test description, test grade, test date, raw scores and scale scores. A calculation will be performed for each test part to determine the Performance Level according to the Scale Scores. The scale score levels will be printed along with a color graph. The form will allow you to select specific test years, test admins, grade levels to be printed and can also be sorted by student, grade, counselor or Teacher/Period for secondary. 11/19/2009 The Import Fixed Length File program can now import the CELDT Test Results for the 2009-10 record layout (Version 0.4). This version will import Accommodations, Alternate Assessment, Irregularities, and Modifications. Also, the test dates are now being loaded from the file and updated into the TST and TEX tables with the capability to load a default date for students who do not have a test date in their test record. The Algebra I Requirement, CAHSEE and Physical Fitness status data will now be calculated and stored in the new TPS (Testing Pass Status) table. 9/11/2009 We have just released our new Supplemental Attendance programs that will enable schools to track positive attendance programs within a negative attendance school! This gives Aeries the ability to track Programs such as Tutorial, Detention, Saturday School (aka ADA recovery), as well as other programs. Schools can create Sessions and setup calendars for each session that are independent from the school calendar. Students can be signed in and out of the sessions from ABI or Aeries. 8/21/2009 The STAR Student Test Results is a new report that prints the STAR test results for select Testing Administrations. This report performs various calculations such as percentage of answers correct and a Testing Grade Average for the number and percentage correct. The form will allow you to select specific grades to be printed and to sort by grade, counselor or student.

6/9/2009 The CELDT Pre Identification Form has been updated according to the 2009-10 layout , version 3.3. The main changes are the addition of the Hispanic/Latino Indicator, the Race fields, and the removal of the Indian Education field. The Pre Id process will handle the conversion from the old Ethnicity fields to the new ones. This process will not update the Student table, and it will only affect the CELDT Pre Id table (PCT). Also, the date range for the "Most Recent Previous CELDT Administration" has changed and will load the most current tests taken between July 1, 2006 and June 30, 2009 as long as the test grade is between the current grade and the current grade minus 3.
4/30/2009 Create CALPADS Extract is a new form in Aeries that will initially be used by CALPADS Beta Testers. In August, all other Aeries customers will use this new form in create extract files for CALPADS Submissions.
4/30/2009 This update includes the new Fitness extract for the SPRG09 record layout that will create two text files: Student.txt and School.txt. The extract has been modified according to the State record layout that now includes the Test Date and will no longer accept codes 12 and 22 for the Reason for Incomplete Data. Aeries will no longer support the Fitness.mdb file due to declining demand and unnecessary duplication of effort. 4/10/2009 Physical Fitness Testing has been updated to allow for an overall pass status to be calculated over multiple Testing Administrations. There is also a new status report to assist in locating students who need to take certain portions of the fitness test. The Create Fitness Extract form will be updated later this month for the SPRG09 layout.
3/20/2009 The Physical Fitness Letter Setup was graying-out options based on the last testing administration rather than in the selected one. Also the Physical Fitness update process was giving passing scores for some tests when they were set to zero. These issues have both been fixed. You will need to re-run the "Update" process for all students from the Physical Fitness Test Results form to update the Pass status.

2/27/2009 The Import or Add Data form has been modified to give users the ability to save their Import Layouts to be re-loaded at a later date. The CS version will download all layouts created by users at different schools. These layouts can be utilized by users for their own use and can be modified and saved with a different ID. Additional matching fields have also been added to the form. 2/20/2009 The Import Student form allows users to import student data from feeder schools that do not use Aeries. The forms functionality is the same as Import or Add Student data however it will only load student data into the STU table. Data can be imported from an External database, Current database, Excel file, or Comma Delimited (.CSV) file. The IDs can be generated using the next perm ID from the DST or SCH or the user can specify a starting ID number. 10/10/2008 A new Red-Flag-O-Meter will now display at the bottom of Student Related forms. A new FLG table will store the student number, table name indicating which form the red flag was set, and a comment. If a student has a Red Flag a small red box will display with the Table name in the Red-Flag-O-Meter. The Red Flag information can be displayed without accessing any form by placing the cursor over the red box. Clicking the mouse on the Red Box will display the form containing the red flag. When the update runs any current Red Flag stored in the Z1-Z24 fields will be converted into the FLG table. Student Red Flag Enhancements

5/23/2008 The Class Rank and Size calculation has been enhanced to allow students within the same grade to be ranked separately from other students in the same grade or not at all, based on their graduation tracks. 5/23/2008 The CAHSEE Pre-ID Process has been updated for the 2008-09 record layout. There were minor changes with the new layout that included adding a new field to flag Post Grade 12 flag students in the pre-id file. This flag will indicate the students that have met all graduation requirements but have not passed the CAHSEE test. The ESEA Title 1 field has been deleted from the record layout and will no longer be available on the form.
5/16/2008 This update includes a new Fitness.MDB however there are no changes according to the state layout. This is a copy of the State of California's database for the spring of 2008. We added new fields to the Physical Fitness Table (PFT) that are not state reported fields but used to determine if a student has passed the Physical Fitness Test. According to the State a student must meet the Healthy Fitness Zone in 5 out of 6 categories in order to pass. New fields will display on the Physical Fitness Test Results form. 5/2/2008 McKinney-Vento Homeless Education Funding - is a New District report that will provide totals for active students that are flagged in the Homeless Program (SSD.HMT) field. This report will allow you to specify which schools and special attendance programs will be used in the calculation. An option is also available that will allow you to select a specific grade level that will be calculated into the report for Pre-Kindergarten students. The report will default to be generated as a summary report but does have the option to be generated as a detail report. The detail report will print every student included in the calculation. 4/25/2008 The Golden State Seal Merit Diploma form will allow you to generate a report for all 12th grade students who qualify for the Golden State Seal Merit Diploma. This report can be generated for students in any or all grade levels to determine the remaining requirements that must be met for a student to qualify as well as generated for individual students selected on the form. The calculations for this report will default to use the CST test and specific part numbers that are available in the Testing Control Table for each Qualifying Exam but will allow you to select specific part numbers to be used in this calculation. 4/25/2008 The Off Campus Pass and Re-admit Slip are new attendance reports that can print from a receipt printer that is 2.75" wide or can also be printed on a laser printer. The Re-Admit program will locate the last date the student has an attendance record entered. A date range will display and default to this date. This attendance record will print along with specific student information. The Off Campus Pass can print notes from the Attendance Notes form indicating the student has permission to be off campus. A Time to Leave and Approval field can display on the Attendance Note form for specific codes. The Attendance Notes codes (ATN.CD) must be setup with a 1.00 entered in the Amount field from Update Code Table form. Re-Admit Slip and Off Campus Pass

4/11/2008 Carl Perkins Report - the Carl Perkins 101-E2 is a new summary report that can be generated from the Carl Perkins form. This report will include only 12th Grade students that were reported as Vocational Completers on the Carl Perkins 101-E1 report generated in October. Four new fields have been added to the SSD table to store data from Student Surveys that indicates whether these students are now Active Duty in the Military, engaged in further education, or employed full time or part time and if so is it related to their field of study. 2/29/2008 The Individualized Academic Plan is a new form which is the first step towards the development of our new Individualized Academic Plan module. This new form will assist Districts with planning out each student's academic plan and will allow Users to enter future course requests. These course requests will be stored in a new Academic Plan Course Requests (APC) table. 2/4/2008 The Aeries Browser Interface now has the capability to enter Physical Fitness Test Results! There is a new setup form in Aeries that allows School and or District administrators to specify which tests are being given each year. 1/25/2008 Major enhancements have been made to Student Assessment Definitions. Assessments can now be created using the CST table. Also, assessments created using the TST table can now have performance level indicators setup for each grade level. The Quick Report can now be generated limiting by Grade and has five new sort options. The Setup option has the ability to select custom color layouts based on assessment performance levels. The custom color layouts will allow assessment performance levels to be printed in color on the Print Student Assessment Summary.
1/15/2008 The Aeries Browser Interface now allows for students to be able to turn in their assignments online. Students just need to be given permissions to upload files to ABI in the ABI Options application, then teachers can turn on the option for an assignment to "Allow Drop Box." Note - the File Upload feature is only available for AeriesCS districts.

11/9/2007 The 2007-2008 CELDT file can now be loaded into Aeries. A new test part (part 7) has been added to store a new flag that indicates whether the student has "Met the CELDT Criterion" and will be loaded into Raw Score. 11/2/2007 We have added an additional tab to the Students form for Secondary Student Data that was previously on the Supplemental Form. Also, we have created a new form for Miscellaneous Student Data (Activities/Awards, Authorizations/Prohibitions, Record Access Log, and Rejoinders), and placed a link to it on the Students form (letter M). This step completes this round of redesigns of the Students form, and returns the Supplemental form to its original purpose - showing the District's user defined data.

10/5/2007 Mass Update Test Records is a new form that will provide the capability of calculating a true percent correct and storing it in the TST.PR field. This form can be utilized to calculate a percentage when one is not provided in state test results or can also be used to re-calculate percentages out to 4 decimal places. 9/28/2007 Create CSIS Data Files forms (SCH and DST) have been updated to accurately extract data for the CSIS Fall 2007 submissions of the Fall Submission and the Annual Maintenance.
9/28/2007 The CAHSEE Test Results program has been modified to support the 2007 Data File Layout and can now be loaded into Aeries. The change to the layout included loading a performance level for parts 1 & 21. Also, all test modifications will now be loaded into the TEX table.
9/28/2007 Aeries Control Panels have now been enhanced to include easy access to valuable programs and reports. New buttons have been added to the form. The SCH version includes a NEW Testing and Assessment form and access to Standards Based Grade Reporting at the Elementary level. The DST version now has buttons for the Staff, Teachers, Courses, Attendance Data and Testing and Assessment forms.
9/14/2007 Standards Based Grade Reporting now allows Elementary Schools that use a Master Schedule to set up standards with courses linked to them. With this information configured, when creating/updating the Standards Based Grade table the "pull-out" teacher will be assigned to the standards that are associated with the course that they teach. The students' primary teacher will continue to be assigned to all standards except for those that are assigned to the pull-out course. A new table (SBR - Standards Based Courses) has been added to store these course/standards links. 9/13/2007 The Aeries Browser Interface now has the ability for Teachers, Counselors, and Counselor-Style Accounts to view or edit the Counseling, Visitation, Dental, Interventions, Retentions, and Fees and Fines tables. 7/20/2007 We have updated the School form with 15 new fields. These include new fields for open/close dates, zip extn, and 8 user codes. There is also a new loc rule added that will allow each District to determine its own default gender code - including one of blank! This will assist with data entry and CSIS Id accuracy!
7/12/2007 Scheduling - modifications have been made to the Student Scheduling Setup form that now gives you the capability to inactivate the SMS table once it has been rolled over and has updated the MST table. Inactivating the SMS table will restrict users from making any scheduling changes from the Scheduling programs. Master Schedule - modifications have also been made when scheduling for the current year and adding a section the next highest section number will be selected based on the section numbers in both the MST and the SMS. This will keep the assigned section numbers in synch between the SMS and MST tables.
7/12/2007 The CSIS Periodic Enrollment Update Extract now has an option to Include Address Information. This option is for districts participating in the Direct Certification process for NSLP students. Using this option for the Periodic EU extract will create a DEMO file with the address information to go along with the ENRA file.
6/22/2007 We have changed the CELDT Pre-Identification Form to match the new 2007-2008 Version 4.0 record layout. An enhancement to the form includes the capability to increase the grade loaded into the PCT table by 1. 6/1/2007 The Aeries Scheduler now supports a new option to Balance Academic Weight between terms. For schools running a 4x4 schedule, this option will ensure that students will not be scheduled into too many difficult classes during a single term while another term has a lot of classes with a lighter academic load.
6/1/2007 ABI for AeriesCS districts now has the capability to Upload and manage files directly through ABI. This will allow teachers to upload files directly through ABI and will have access to those files to associate with Gradebook Assignments and Calendar Events. 5/11/2007 This update includes a new Fitness.MDB. This is a copy of the State of California's database for the spring of 2007. Aeries Physical Fitness forms will extract into this new format or text files, as well as ask the user to input and or verify certain data the State is asking for, that Aeries may not store (like County Name and Charter School Number). Also, the Create Fitness Extract form in the District has been modified. We have also added new fields to the Physical Fitness Table (PFT), that indicate which test in a particular category was taken. 2/23/2007 The Student Language Census report has been enhanced and now generates totals for Part 1 and Part 2 of the Spring Language Census reporting (R30). 2/2/2007 We have modified the design of the Courses form and added 16 new fields. These fields include 8 User Codes, a Board Adoption Date, Last Revision Date and Type, Inactive Date, Academic Weight, Max Seats and two fields for Meets Algebra I Requirement. 1/22/2007 We have created a new form called: Import CASEMIS Extract that will allow Districts that use a third party application for CASEMIS reporting to quickly and easily import their Special Ed data into Aeries! The form imports the STUDENT and SERVICES text files (.TXT or .CSV formats), and allows matching on ID as well as CSIS Id and even Social Security Number as the third party application and Aeries may not use the same Id. 11/10/2006 We have updated the Elementary with Master Schedule process to automate the link between attendance home period and the Student's attendance teacher number. The Student Class Schedules form has been changed so that when a section is added (for the attendance home period) the form will now update the Students teacher number. If the student is already enrolled in attendance the Attendance Change form will display to update the attendance enrollment record.
10/6/2006 The 2006-2007 CELDT record layout has been added to the Aeries Import Fixed Length Files form and will now allow the importing of the latest CELDT scores into the Test Scores (TST) table.
9/29/2006 CAHSEE Test Results for the 2006-2007 school year can now be loaded into Aeries. We have added the ability to load and update Accommodations and Modifications into the Aeries Testing Exclusions table (TEX). Once approved by the District these can now also print on the CAHSEE status report with 'Requirements Met" or on the Transcript with "Reg Met" instead of Passed.

9/22/2006 We have added a "Lock Attendance Month" option to Aeries. This option is only available to Administrative users and will restrict all users from updating attendance within a locked month. Of course an Administrator can also unlock a month if necessary.
9/22/2006 The Aeries Special Education Data forms have been redesigned adding tabs for General Information, Student Services, Discipline Data, Transition Information, IEP Status, and Comments. There are a total of 18 new fields in the CSE-table, as well as a new Student Services table (CSV) that combines the old DIS & Infants Services tables (CSE & CSI). 9/1/2006 The Import Fixed Length Files program has now been modified to support the new 2006 Aprenda Data File Layout. Due to issues with the files created by the testing vendor that were sent to various districts we had to create two different record layouts which are called APRN306A and APRN306B. The easiest way to determine the difference between these two layouts is to look at your printed copy of the data file layout. If FINAL: April 2006 is printed on the front cover you will want to load APRN306A. If Revision B: 080406 is printed in the right hand corner of page 3 you will want to load APRN306B.
8/25/2006 No Show Setup is a new form available to security-level users allowing a school to pre-define what status tags count as "No Show" (i.e. "N"), and what steps to take when a student is tagged as a No Show. These options include dropping Lockers, Course Requests, Sections, and Course Attendance automatically. Attendance/Enrollment data will be automatically deleted. There is also an option to require the user to enter a Summer Withdrawal Reason (STU.SWR). No Show Setup Options
8/9/2006 The STAR Test Results program has been modified to support the 2006 Data File Layout which is now broken out into two separate files. The REC1 file contains the STAR test scores and the REC2 file contains Accommodations & Modifications records. Major enhancements have been made to the STAR Test Results Form which allows the CST, CAT-6 and CAPA test scores to be loaded into the STAR table along with the Accommodations/Modifications records. When the update process completes the test scores will be loaded into the TST and CST tables and the Accommodations/Modifications records will be updated into the TEX table. A new Report button has also been added to the form which allows a Duplicate Record report to be generated that can also include Unmatched Records which will assist with matching STAR records. 6/30/2006 We have added the ability to store Attendance notes within Aeries. Attendance Notes is a new form accessible from the Period Attendance form's calendar view section. There is now a small 'envelope' to the left of each date, that will show in red to indicate a note already exists for a particular date. Clicking on an envelope opens the Attendance Notes form for that student and date. A student can be given multiple Notes on any given day. There is also a radio button at the bottom of the form that allows you to show ALL Attendance Notes for all dates for the student displayed. Since the notes are stored in a separate table (ATN), Query can be used to view all notes, or ones with a particular code value or date. Attendance_Notes

3/3/2006 A new feature has been added to the Student Testing form that allows you to view all testing data at one time. This includes standards tests, testing exceptions, and records kept in the generic testing table. The new form also now displays 3 tabs that allow schools to define custom views of tests selected. This form is user specific meaning each user can choose which custom view they would like displayed and will have quick access to their most used reporting data. Also, Student Assessment now allows the customization for the definitions of the five level rubrics. This allows total control over each key, allowing different labels for each key, if desired. 2/24/2006 The Letters to Parents program generates attendance letters for students. A record can now be stored for each student receiving a letter in both the Letter Log and Letter Audit tables. The Letter Log form will display information about the letter and Letter Audit will display an exact replica of the attendance data that prompted each student to receive each letter. 11/3/2005 Print Content Standard Scores By Section/New is a new report that allows the user to print the California Content Standards Scores by section - showing all students in the class and their results horizontally. This will allow teachers to quickly determine where a student scored in the different strands of the test, and compare results to their classmates.

10/7/2005 We have just released our new Letters to Parents forms and reports - new multipurpose letters (tables, forms and reports). Currently they are only designed for use with attendance (i.e. SARB, Truancy). Which absence codes to count towards each letter are user-defined, as is the number of codes required to receive each letter part. A sequence of letters can be reset, similar to the Absent/Tardy letters, with each student's "received" letters stored in the Letter Log table. These letters are not intended to replace the existing Absent/Tardy letters, but have that ability if desired. 9/30/2005 This year there were no major changes to the way that CBEDS will be processed in Aeries. However there were some enhancements made to the CBEDS reports. The Print CBEDS Enrollment for Vocational Education Enrollment will not include ROC/P courses tagged with code 30 in the Course Type (TY) field. The Print CBEDS Teachers and Courses report will now print the social security number from the Staff table instead of the teacher table. The option has also been added to print the Staff ID instead of the social security number. Total boys and girls will now print and the report will skip any inactive sections. The option has also been added to exclude T/A's courses. The Print Teacher (CBEDS) Class Information can now be printed by teacher name or teacher number. The report will now skip any inactive sections and the option has now been added to exclude T/A's courses. We have also added the NCLB Core field to this report.

9/15/2005 The CSIS Enrollment Update files can now be extracted using the Create CSIS Data Files form from either the school level or the district level. 9/2/2005 As part of Eagle Software's goal to provide NCLB compliant applications, we have previously enhanced the multi-mark Grade Reporting (GRD) process to include up to 12 marks (which can include Progress Reporting marks). We also previously added the Grades History (GRH) table to store complete information for all prior marking periods. This information is available for review months or years later. As the old single mark Progress Reporting (PRG) process could not provide this level of information or accountability, it has been discontinued by Eagle Software effective September 1st, 2005. The ability to view and print individual Student's old Progress Reporting data in previous year's databases is still available through View All Forms and View All Reports, but the Progress Reporting Cycle form and the ability to start a new Progress Reporting cycle have been removed.

7/1/2005 Query has undergone a major overhaul. The form is now larger. This accommodates more viewable tables and fields. There is a new Special Functions section. This form now supports the Query Change Security settings to limit the use of the CHANGE command and CHANGE form. All KEEP/SKIP statements are now logged and displayed at the bottom of the form where a new button is located to roll back the last KEEP/SKIP statement. Additionally, the last KEEP/SKIP statement can be automatically applied when Aeries starts by running the KEEP/SKIP statement and then clicking on the new button called STARTUP. The Startup KEEP/SKIP is saved for each user in the database.

3/4/2005 The scheduler now has some ability to determine what course is scheduled and what course is rejected when there is a conflict between two courses. Any course that is marked as Non Academic in the N/A field of the Courses Form, or any course that is marked N in the NCLB Core field of the Courses Form will be rejected in favor of any course that is not marked in this way. This allows some "priority scheduling" to be accomplished. Courses will have a lower priority if they are Non Academic and/or not an NCLB Core course.

1/28/2005 There is a new form in Aeries called Define Required Fields for Data Entry. This new form allows schools to define which fields on certain forms are required to be entered when doing data entry on that form. Once a field is turned ON, anyone changing a record through that form will not be able to save the record until the complete set of data is filled in. The major forms in Aeries already support this feature and more forms will come shortly. There is also a tab on this form that will allow schools to define which dropdown box fields on the above forms will limit the data population to the values in the dropdown list. 1/14/2005 Course Request Packets is a new form that will allow the creation of "packets" of courses based on common students course requests (9th Regular, 10th Honors, 11th Track A, etc.). Packets can then be assigned to students either through Class Scheduling (Scheduling Cycle form) or the "Switch" side of Student Classes (Students form)! Assigning a packet to a student outside of the packets grade-range will give a warning message, but still allow assignment. Course Request Packets
12/17/2004 Import or Add Data to Aeries - We have released a new form that has a multitude of capabilities for bringing data into Aeries from other sources (as example Free & Reduced Meal [FRM] data). 12/17/2004 Standards Based Reportcard (Portrait) - A new version of the standards based reportcard that is flexible in paper size and uses a portrait layout as opposed to a landscape one. This report is designed to be extremely flexible and can grow to as many pages as necessary. You also have the ability to print on legal or letter sized paper.
11/24/2004 Special Education - the modifications to the CASEMIS extract for December 2004 have been completed. The Macro: "Create CASEMIS STUDENT File" has been modified, setting default dates and folder names for 2004-05. We have also added the three new fields from the Special Education Data form to the STUDENT.TXT extract text file: TRAN_SERV (CSE.TSE), MHS_ELIGIB (CSE.MEL), and MHS_LANG (CSE.ML). Also, we dropped the old WORKAB field. The STUDENT.TXT extract is now 218 characters per record, up from 215.

10/29/2004 Print Content Standard Scores by Section and Print Student Multi Data Profile are 2 new reports that greatly improve the ability for a school to assess student achievement and get that information into the hands of teachers. The Content Standard report is designed to print the content standard scores (CST) by section so teachers will know the details about their student's past achievement. The Multi Data Profile allows a school to put together information from any place in Aeries and assess students on multiple measures.
10/22/2004 The 2004 CELDT, 2004 CAPA, and 2004 EAP record layouts have been added to Aeries on the Import Fixed Length Files form to be able to import into the Test Scores (TST) table.
10/22/2004 The Query Change Form now works for AeriesCS districts. This form has also been modified to only display records that exist. This will prevent errors from occurring when data is attempted to be inserted into a table that doesn't have a record yet. This normally happens with the SUP, IMM, and FRM tables.
9/24/2004 Aeries has a new field to support UC/CSU Course Validations for the computation of UC/CSU Admissions Eligibility and Course Completions. 7/9/2004 The Language Assessment form and all related sub-forms have been enlarged. On the main form, we have added 5 User fields (LAC.U1 thru. LAC.U5), 2 follow up date fields (LAC.RD4 and LAC.RD5) and 4 day code fields (LAC.RC2 thru. LAC.RC5). We also added Control Tip Text for all of the fields on the Language Assessment form and sub-forms, so when you place a cursor on the field, you get the detailed description of the field and also the field/table name where its value is stored in your Aeries database.
6/25/2004 Aeries Client Server now allows districts to define which student related tables they want to be based on Permanent ID Number instead of by school code and student number. There is now a form in the AdminCS application that allows this. This will eliminate issues about student record being left behind at previous school sites when a student changes schools within the district. Client Server Administration
6/18/2004 Enrolling all students in Attendance (ATT) will now automatically create the Course Attendance (CAR) table. Course Attendance is now automatically updated when students add, drop, or change classes. Course Attendance is the table that stores the dates when a student entered and left a class. Now on every form where a student's classes can be changed there is a "Course Attendance Date" (or sometimes just "CrsAttDt") that needs to be confirmed prior to any class schedules being changed.

6/4/2004 The Transcripts (laser printed versions) now have the ability to print Activities and Awards (ACT) data. This can be used to print out things like Total Community Service Hours. The ACT printing rules must be explicitly defined using the Define Tests to Print on Transcripts form.

5/14/2004 We now have 12 mark plain paper, trifold and datamailer report cards available. The 12-mark datamailer is designed at 10cpi/6 lpi (like all of our other gereric reports/datamailers), so printer lineup should be much easier than with the old 11-mark datamailer, which this new report replaces!
5/7/2004 Aeries now has the ability to: Save or Restore Scheduling Results. This new form is used to save the current SMS and SSS tables, and to restore them later on if desired. Creates and updates a database named SAV------.MDB containing multiple saved SMS and SSS table pairs. Form shows list of available saved results, allows user to save more results, restore saved results, and delete saved results. Also added form to Scheduling Cycle form, and a new table usysSAV for displaying saved results on the new form.
5/7/2004 Standards Based Report cards now have the option to expand the comment fields to fill in and use any available space on the 3rd column of the report card not being used by standards.
4/26/2004 This update includes a new Fitness.MDB. This is a copy of the State of California's database for the spring of 2004. Aeries Physical Fitness forms will extract into this new format, as well as ask the user to input and or verify certain data the State is asking for, that Aeries may not store (like County Name and Charter School Number). Also, the District Database's Create Fitness Database form has been modified to allow pulling the STU and PFT data right out of the District Datatbase versus using wan-path's to pull PFT data from the live School databases! 4/9/2004 Many of the main forms in Aeries have been modified to point at the Aeries.CHM help file, when the F1 (help) key is pressed. This file can be placed into the same directory as the schools database, or placed in a shared folder and pointed to using a new setting on the Aeries Variables for Current User form. Also, the control panel now shows non security users a link to our on-line help file.
3/23/2004 Aeries now has the ability to print the Student National Origin Report (SNOR) from both the school and the district version. This report provides an overall or a detailed total of students who have a birth country outside of the US (STU.BCU), and a US school entry date (LAC.USS) within the last three years, or any date you choose. 3/19/2004 Interactive Scheduling Master Schedule Builder - New form to create sections in SMS. Form is located in either "View All Forms" or a new "AddCrs" button from the "Scheduling Master Schedule Board" form. For a selected course, the form displays the total requests by grade level, a list of conflicts by period and term, and the option to enter the number of sections to add each period for the selected course. Has ability to input the same value for all sections in these fields: block, term, teacher, room, credit, sex, grade-range, sched grp, tag, track, split term, day tags, max, tch2, tch3 and MultiTchr. 2/20/2004 We have released a new Administrative application for the Client Server version of Aeries. AdminCS.MDE will now be included in the Client Server version of Aeries (UpdateCS.EXE). It will allow Client Server (Administrator) users to update their SQL databases directly, without having to run scripts from Query Analyzer. 2/20/2004 UPDATE.MDB has been modified to copy down the new AdminCS.MDE application when a newer version is found in the users updates path. It will also copy new DST and SCH versions if they are in need of updating! If a District user runs DST before SCH, both DST and SCH will get updated. If SCH is accessed first, only it will be updated. We also modified UPDATE.MDB for ALL users of Aeries, to not only properly update both DST and SCH for District users; but also when updating SCH, it will no longer copy Aeries.MDE into a folder it does not already exist in!

2/13/2004 Master Schedule/Scheduling Master Schedule Forms - Added the ability to move or copy some or all of the students when using the new "Copy" function! This will allow you to 'copy and go' - so you do NOT have to return to the old section! Also, "Copy" will now duplicate the period number, but have it highlighted so you can easily change it, if necessary. If no data is changed for the new section, and copying students, will warn that the students now have two classes that given period. Also added default value of "MTWTF" to "SplitTerm" field (on "Add").
2/6/2004 The Master Schedule/Scheduling Master Schedule Forms have been modified to NOT allow changes to key fields (PD,SM,TN,CN) or deletion of a section once the section exists in Course Attendance (CAR) or ABI Gradebook (GBE). This will not prevent changes when scheduling for next year. To make "rolling" a class safe and easy, we also added a "Copy" button, which will create an exact duplicate of the current section, except for the period. Once a valid period is assigned, a new section number is assigned. This was done to decrease the amount of data entry required for creating sections (i.e.: Mrs. Smith's 6 "English 9" classes). We have also created a new Macro (Find Mismatches between CAR and MST) to assist you in identifying any sections that have been changed that should not have been!
2/6/2004 The Medical - Immunizations form now highlights the immunizations that are required by California but not completed for a student according to that student's age and grade. There is also a new macro called Update Immunization Requirements Status that will go through all students and update the Requirements Met field in the IMM table for all students. It honors a KEEP/SKIP too. The immunizations that are covered are: Polio, DTP, MMR, Hepatitis B, and Varicella. 1/22/2004 The scheduler has been enhanced to better handle scheduling student groups and team scheduling (commonly referred to as Teams, Houses or Tribes). On the Students form, we have added a scheduling group field (STU.SG). On the Scheduling Master Schedule form, we added fields for scheduling group (SMS.SG), class group (SMS.CG) and team number (SMS.TM). Class group and team number are designed to replace the old process of dummy teacher numbers and group tags! 11/7/2003 Aeries now has a form to interface with the Scantron Performance Series application. This form allows you to create the files for the Scantron Performance Series. This will enhance the ability for Aeries customers that use Performance series to exchange data between the two systems. 10/16/2003 Aeries now has the ability to load SAT and AP scores into the College testing table (CTS). This is available through the Import Fixed Length Files form. You can use the SAT load to import files since 1997. The AP test recently changed it's record layout for the 2002-2003 year of testing, as such there are 2 separate file layouts.
10/10/2003 We have just created a new form "Pull ENR From Another Database", that is available in the District Database version of Aeries. This form will allow you to pull enrollment history (ENR) records from another DST-database. The form is also available for client/server as "Pull ENR From Another Database/CS". This form can not only be used to fix an error with prior years ENR-records in the current DST-database, but could be used to get ENR-records into the current year for ALL prior years the school has Aeries databases available! As long as a DST-database has been created and updated for the year in the past, those ENR-records will be available to be pulled into the current year! This will allow you to have as many years of Enrollment History available in Aeries as you possibly can…
10/3/2003 Grade History - A new table (GRH) in Aeries to store grade reporting data otherwise lost when creating a new grading period (credits, citizenship, work habits, absences, tardies, attendance totals and comments. The mark is also stored). The Grade Reporting Cycle has been modified to include "Copy Grades to Grade History", "Display Grade History" and "Print Grade History by Student". Users WILL be reminded to roll GRD into GRH when creating a new Grade Reporting period, if they have not already done so!
10/3/2003 Aeries now has the ability to log the updating of critical data in a separate log database (a table for Client Server users). There is a new form that allows security users to choose what events they would like to log. As an example, you can turn on logging for transcript (HIS) modifications and Aeries will log: the user, when the change was made, the old value, the new value, and other pertinent data. We have added 7 forms or processes so far, and we will be adding more in the coming months!
10/3/2003 Create CSIS Data Files now handles the Fall 2003 Extract. Some changes have been made so please review the latest changes in the CSIS Fall DSR as well as the Aeries documents that have been sent out to CSIS districts. This form has not yet been converted to handle AeriesCS. That change will be coming soon.
9/19/2003 Courses Form - has been modified to be (800 x 600) and fields have been rearranged for readability. Two additional fields have been added for CSU Elective (CRS.CSE) and CSU Honors (CRS.CSH). Also, and most important, the definition of use for the CSU and UC Elective and Honors tags has been changed to require a value be placed into each Course record that meets the latest definition of CSU or UC Elective and Honors fulfillment.
9/19/2003 Aeries now has the ability to maintain STAFF data in the district database. There is a new form "pull and push staff data" available in the district software that will let the district pull in all of the staff data from each school site, make the necessary corrections, then push the data back out to each site. Along with the changes to the staff form, this will allow for easier management of staff data.
9/19/2003 Students & Student Enrollment forms - Added logic to the Add function that will update the new STU-record with the Students Last and First name as soon as those fields are input, instead of waiting until the Enter key is pressed. This will help to prevent a new STU-record from being deleted by another user, and showing "record deleted" across the form. Also, additional safety checks have been added to warn the user that when they click on delete, that they are about to delete the first student in the file, not the one they had just tried to add!
9/15/2003 Off Grade Courses is a new form to show and update the new OGC table. This table is designed to store those courses for a school that may be taken outside of their normal grade range (like in grades 6-8) and could be in a student's Course History and should be counted as a regular course for certain purposes. Users can specify if a course taken in Jr. High should be counted for UC/CSU eligibility, count for Graduation Requirements, show on Transcripts, or count in GPA.
9/5/2003 Content Standards Report - There is a new report available to print out the content standard scores from the California Content Standards Test. This report has many printing options and can be run from the Student Test Scores Form "report" button.
8/28/2003 A new version of ABI has been shipped. It includes a new process for updating ABI with new versions and provides for support for linking Gradebook Assignments with Standards. 6/27/2003 Standard Based Grades History - We have released a new feature that will allow schools to keep historical Standards Based Grades information in the SBH table.
6/4/2003 We have implemented the new larger forms throughout Aeries. The larger form size will allow us to add additional fields, tabs, and/or increase the number of records viewable on our forms. Over time, all forms (including the Control Panel and each "cycle" form) will be modified to the new larger size, as appropriate modifications/enhancements are made. As always, customer suggestions are welcomed. The new larger form size is designed for a screen resolution of 800x600 or higher. Aeries forms will no longer support screen resolution of 640x480. However, the smaller version of selected forms will be renamed with "/OLD" appended to the title. These forms will still be available for use for a short period of time, but no enhancements will be made to the "/OLD" forms.

All of the Grade reporting programs have been modified to allow marks M1 - M12, show Tardies (as well as Absences), and period Block. Also, the Grades and Grades/Large forms have been modified to show more of the Course Title and Teacher Name, as well as only show the marks that have mark definitions defined!

2/7/2003 AERIES now has the ability to load SABE scores into the testing table (TST). This is available through Import Fixed Length Files and is the SABE01 record layout. Because the SABE record layout has not changed in the last three years, you can use the SABE01 format to load in previous years of data.

1/6/2003 Students form - We are no longer copying the current student's picture file before it is displayed, which results in a much faster display. We have also added an option which will change the method pictures are displayed. The default method is "Clip" which means to NOT change the size of the photo, just put as much as will fit into the picture. This works fine for small photos, but can cut off part of larger photos. Selecting the "Zoom" method reduces or enlarges the photo to fit into the picture frame. This may result in a poorer quality photo, but one that does fit the frame.
1/6/2003 Students form/New - This is a new larger students form being tested for users with a monitor resolution of 800x600 or above. There is room for additional data on the new form, and your suggestions for this added data are welcome.

12/5/2002 Modifications have been made to the Create CASEMIS Student File macro/function to 'pad' the Special Ed OutReg (out of Regular Class percentage) and Infant Service Duration fields with leading zeroes, as CASEMIS now rejects these values if they have spaces instead of leading zeroes! The default dates and output folder name have also been updated to the 'current' ones.
11/19/2002 We have added the ability to print multiple sections and multiple test strands when running the "Print Student Achievement Test Results Cluster Scores by Section" report.
11/7/2002 Period Attendance Form - Added logic to check day tags (MST.MM-MST.MF), A/B Days (MST.DY and DAY.AB), First/Second half of term (MST.DY) and track vacations (DAY.T1-T6). Will only place dashes where a class meets on the actual date (depending on above criteria). Displays "OFF TRACK" on track vacations. A new option (Utilize A/B Days) has been added to the Schools Form to allow schools who are set up as A/B Days to identify this to the system. Note: if you are using ‘standard' days (every kid goes to every class every day) this option and these modifications are NOT for you!

10/8/2002 The Colleges form and all CSU/UC Eligibility Reports and functions have been modified to support the new 2003 Admissions Requirements. The Courses form has been changed to display the new UC/CSU A-G Requirement Codes. This update (10/8/2002) will automatically change all F codes to G and all G codes to F in order to comply with the admissions requirements for Fall 2003. Please be sure to go into databases from Last Year so that your CBEDS/CSIS report for Graduates qualifying for CSU or UC will be correct. For detailed information about the changes please download and read this document.
10/8/2002 Create CSIS Data Files in the DST software now has the ability to Create and Load the CSIS Identifier file for the entire district. It is not recommended that an entire district be extracted for identifiers at once. This functionality is designed for extracting all new students throughout the district on a monthly basis as is recommended for CSIS Identifier Maintenance. The identifier process has also been cleaned up to allow for including No Shows and Graduates in spite of not having any attendance enrollment information. The Fall Extract now extracts all Pre-Enrolled classes so that they will be counted in specific enrollments in CBEDS.
10/4/2002 CAHSEE Pre-Identification Form - There was a logic flaw in this program that has been fixed! If a student had taken the CAHSEE test multiple times, and ever failed it, that student would have been added to the PreID file with a 3 (taken and not passed) in both the P1 (English) or the P2 (Math) under CAHSEE Prior Test Experience in the CAHSEE Pre Identification form. We are now ONLY placing a 3 into this field if the student has never passed that particular test! If you did not receive the e-mail informing you of the procedures to make sure you are extracting the correct students, please contact support@aeries.com.
9/24/2002 In preparation for CBEDS day, a new field has been added to the STU-table: STU.CIC (Counted in CBEDS). This field will be updated after the final CBEDS Enrollment by Grade report is run. Other CBEDS reports will look at this field, and optionally include only the tagged students. 9/13/2002 Elementary Grade Reporting has been replaced with Standards Based Grade Reporting. The new Standards Based Grade reporting system allows users more flexibility in the defining of Standards as well as Report Card setup, and will have an interface with ABI for grade input.
8/28/2002 We have removed the API calculation reports: Print API Analysis and Print API Growth Report. As Aeries was never able to accurately duplicate the State's calculations, we have decided not to try! We have also removed the API.MDB (and GRADES.MDB) from the UPDATE99 (2K and XP), as neither is used any longer. 8/21/2002 The 2002 STAR Import program is now complete. New fields have been added to the TST table. The California Standards scores that came with this year's STAR data is now stored in a new table called CST. A form accessible from the Test Scores form will be coming soon to display that information. In addition, updated procedural documentation should be available in a few days.
8/12/2002 The ABI Gradebook has gone through a major structure change. If your school is using the ABI Gradebook, implementation of the 8/7/2002 or later version of Aeries must correspond with the implementation of the newest version of ABI (8/7/2002 or later). The changes to the Gradebook should put the ABI Gradebook on par with other major online gradebook vendors.

Students and Student Enrollment Forms - If your school has data in the STR (Streets) table, when adding or changing an address, Aeries will automatically break down the address, and search for a match within the STR-table. Warning messages are given if the address is not found, or is within another schools boundaries. Upon a match, the following fields are automatically populated: City, Zip Code/Extension, Grid Code, and Next School! If you are using a STR -table and the address does not match, Aeries will now open an input form with a dropdown of Streets starting with the first letter of the address. Note: the Streets form is available for entering/modifying STR-records. Data conversion of existing data is also a possibility…
A new form "AeriesHR interface" has been added. This form will allow users to add and update information from their Aeries HR software into the STF table. Also, the import Fixed Length Form has a generic load for the STF table from 3rd party products. This was created for districts participating in CSIS, who may not be using Aeries HR.
The 6/20/2002 version of Aeries included a change that inadvertently caused the automatic update process to stop working. This problem has been resolved in the currrent version.
Modified the CAHSEE load process based on the new 2002 data file format. The form still has the ability to load the 2001 data! Also we have renamed the form to: CAHSEE Test Results.

We have changed the CELDT Pre-Identification Form to match the new 2002 record layout.
This update includes a new Fitness.mdb. This is a copy of the State of California's database with a new table layout for the 2002 testing year. Aeries Physical Fitness forms will extract into this new format, as well as ask the user to input and or verify certain data the State is asking for, that Aeries may not store (like County Name!).
The District Database Update process has been modified to allow the option of NOT including pre-enrolled (STU.TG = "*") students. Also, large districts can select to compact the DST-database during the update process, to keep the size of the database manageable.
Students form and all student related forms - Inactive students have a colored border around the outside of the form. This color can now be customized according to the status tag, by coding the color in the code table for STU.TG, under N1. The available colors are 0-yellow (default), 1-Red, 2-Blue, 3-Green, 4-Magenta, 5-Orange, 6-BlueGreen, 7-Purple, 8-Gray, 9-Black. For example, to make all pre-enrolled students have a blue border, put a 2 under N1 in the code table for STU.TG of asterisk.
Students form - Added Next Track (STU.NTR) field. Updating to this version will add the STU.NTR field, as well as automatically populate it with the value in STU.TR! Any changes made to the Track field will prompt for permission to change Next Track.
Scheduler - Modified logic to process Next Track field (STU.NTR), when scheduling for Next Year.
There is a brand new Secondary Users Manual available on the Downloads page under the User Manual category! This manual is to be used in a working environment by Secondary School Staff. It is very "visual" and full of pictures and diagrams, to help you quickly learn about any Aeries function. These manuals are different than the "Reference Manuals" which are more in-depth than the User Manuals. It is all in Word 2000 format, and can be printed in color or black and white. The color version is gorgeous!
Note - This version will add a counter field to the HIS table and will possibly take a while to update your database with this change. If your school has a large HIS (Course History) table, please set aside enough time to allow this update to complete. In the near future, the TST and other student related tables will get a new Sequence field to allow the system to uniquely identify each and every record in the database. The TST table will not be changed on this version but it is a good idea to get this version so both the HIS and TST tables will not be changed in the same update.
CELDT tests can now be imported into Aeries. Refer to the detailed changed for specific information
      The Language Assessment Data form now shows CELDT as the 2nd tab. This data is actually stored in the TST table, but if a user has permissions to update the LAC table, they will be given permissions to update the CELDT records through this form without having to have update permissions to the TST table. Also, from the district database, changing records using this form will automatically make the same changes to the TST table in the actual school's database as well.
A SABE Pre-Identification program has been added to Aeries. This will allow you to create a pre-ID file for the SABE /STAR 2 test using the SABE Pre-Identification form.
Transcripts can now be configured to show specifically just the College Entrance Tests or Standardized Test Scores your school wants. You can use the Define Tests to Print on Transcripts form to detail the tests you wish to print.
Aeries can now store infinitely many College Entrance Tests. SAT I, SAT II, ACT, GSE, AP, etc are now stored in a new tabled call CTS. Aeries is no longer restricted to storing a specified number of these tests.
Two new fields were added to the SSD (Supplemental Student Data) Table. They are: TGC (Testing Group Code) and TGN (Testing Group Name). They can be used (optionally) for PRE-Id processing. If populated, their values will be placed into the Group Code and Group Name fields in the PRE table.
The CAHSEE Pre-ID process has now been completed. There is a new form called CAHSEE Pre-Identification Form (in both the SCH and DST databases) that is used to guide the user through the CAHSEE Pre-ID process.
The December 2001 CASEMIS Extract has been completed.
The STAR Pre-ID Process has been updated for the 2002 STAR record layout and rules. The STAR Pre-Identification Form will now automatically populate much of the Pre-ID data when loaded. There have been several changes in the new PRE-ID data, so you should check over your data in the PRE table very carefully! There is also a new Macro (Update or Replace XRF) that will update or replace your existing XRF-table records with some of these changes.
The Special Ed forms have been modified to allow data entry of new fields required by the State. These fields will be automatically added to your Schools (or District) database with this update. There is also a new Macro (Update COD-table with latest Special Ed Codes) that can be run to update your COD table with the latest code values for all (State Required) Special Ed fields.
Schools now have the option of selecting Decile Ranking, instead of standard ranking. All forms and reports showing Class Rank have been modified to show the selected rank.
A new form and report have been created to assist users in reporting information for the Carl Perkins III report.
The CAHSEE test can now be imported into Aeries. The form HSEE Test Scores will allow you to import, match, and update these scores. This process can be done from a school site of from the district office.
The scheduler has been enhanced to allow real split-week scheduling. In the past, only two sets of classes could be scheduled together, such as Mon/Wed/Fri and Tue/Thu. Now any day of the week can be scheduled with one or more classes meeting on other days of the week. Six new fields have been added to the SMS and MST tables to denote the actual day of the week the class meets. Each represents a day of the week, and is a yes-no field, denoting whether the class meets this day. These fields also appear on the Master Schedule and Scheduling Master Schedule forms. The old Days field remains, and will continue to be printed on locators and schedules. It is not used by the scheduler, which now uses the new six fields. This update will automatically populate these fields based on what is now in your Days field. Schools should make sure the new days of the week fields are correct prior to scheduling.
A new program has been written for tracking Scrip. Scrip Stores is a new form that is used to identify available stores and track the percentages. Scrip Purchases is a new form where Scrip purchases by students are tracked. There is a new report called Print Scrip Summary that will print Scrip purchase data in different formats and sort orders. The new tables used are SCP (Scrip Purchases), STO (Scrip Stores), and STP (Scrip Store Percentages).
Copying data from last year's database form was not copying over many newly added tables including TTC (Table To Copy), SSD (Secondary Student Data), STF (Staff), and many not widely used code and student related tables (BSD, CHI, EMP, RPP, RUN, WGM, ACT, AUT, PGI, PGM, RAL, RJN, and WPT). This form as well as the update student data forms now copy these tables.
Students Form - modified new field: InterDst (STU.IT) to pull drop down values from COD-table. This will allow users to use for both Inter and Intra district transfer students.
Supplemental Form - Modified logic to size fields with drop down lists by size of field - NOT all the same (wide) size! Will also NOT place fields or headings under scroll bar - in effect chopping them off! Also, added control tip and status bar text for fields.
Eagle Software has received the 2001 California High School Exit Exam (CAHSEE) record layout. An import program should be available as soon as districts begin getting their files back in the middle of August.
The Elementary Grade Reporting program has been beta tested and documentation is currently being prepared. Watch the Downloads page for this new documentation coming soon.
The Billing program in Aeries has undergone some radical changes lately. A new Billing Statement report has been written as well as programs for keying in check amounts, tracking payment schedules, and mass billing students.
Aeries will now import the 2001 STAR file. Use the STAR Test Results form to import, match, and update your school's SAT-9T scores. The record length did not change this year, but the field order did. Two new test types have been added to the record. They are California Standards Tests and California Performance Standards. These tests will be imported into the TST table with a Test ID of CST and CPS. The district version of Aeries now has the ability to easily push your STAR, TST, SCS, or STU data from the district database to all of your schools. Documentation will be available shortly describing in detail the procedures to importing your STAR test scores.
The Repair Indexes function now repairs all indexes in the database regardless if the index is being used or not. This will make every school's database run slightly more efficiently. The 7/17/2001 version will make the necessary index changes to school databases.
The Macro: "Create CASEMIS STUDENT file" will now create an ASSESS.TXT (Alternate Assessment), as well as STUDENT.TXT, INFANTS.TXT, and SUSPEND.TXT. Other changes were made for the current (6/30/2001) reporting period as well - please refer to the detail revision notes for more information.
Transcripts will no longer print a student's Social Security Number stored in the SUP table. If the option is chosen to print Social Security Numbers, the transcripts will print Social Security Numbers from the STU.SS field. If your school has not moved Social Security Numbers from SUP to STU, you should do so very soon using a Query Change statement.
A new scanner testing program is available for downloading as a separate MDB. It is in SCANTEST.MDB on the updates page. Opening the MDB will start the scanner testing form. Place one of the seven (48 channel) scanner sheets supported in the scanner and press Scan. A color image of the sheet will appear on your screen, with the marks that were read. You can switch between any of the seven sheets at any time.
The Access 2000 and 2002 beta versions of Aeries have been updated and completely enabled. If using either of these versions, you will not be able to update your current Access 97 version System.mdw. If you wish to acquired a 2000/2002 version of the Aeries System.mdw you may obtain it from Eagle Software Support. Please call Support if you would be interested in piloting the Access 2000 or 2002 version of Aeries.
District Language Assessment form now allows the Student's Lep/Fep (STU.LF) field to be changed if the user has update permission to STU and LAC. When changed, the value will be automatically pushed out through the WAN to the school's live database if it can be found.
Aeries has enabled its customers to use 3-character state standard ethnic codes. In addition to this, the Students table has had 5 new multi-ethnicity fields added to it. If a school wishes to convert from their old 1 character ethnic codes to the new 3 character state standard codes, they can use a new form called "Convert Ethnic Codes to State Standard."
In the district software, Print Students Enrolled more than n Days is a new report that allows users to identify students who are enrolled for more than a certain number of days this year. This report will read every student's enrollment records (ENR table) and determine the number of days enrolled by looking at the appropriate school's calendar. This report will catch students who "jump tracks" and go over 180 days of enrollment.
For Special Education (CASEMIS) - added a new Alternate Assessment Data (CSA) table. Added a new field: Include? (CSE.IN) - so users can tag records to NOT be included for CASEMIS reporting! Also added Control Tip text for every field that is required for CASEMIS reporting in Special Education (CSE) and related tables (Assessment - CSA, Discipline - CSD, Infant Services - CSI, and Suspensions - CSS).
The Discipline form now has a button that will print a letter containing information about the current ADS record. Schools can create as many different Discipline Letters as they want and the process works similar to the Suspension Letters program.
Due to many new reports added lately, reports starting with "Print Class…" and "Print Progress…" have been moved from Aeries.mde into Sch.mde. Only districts customizing Aeries need to worry about this. Please download the newest customization instructions for details.
Aeries now has a newly developed Help file. This new help file can be downloaded separately from the Aeries update. It is called Aeries.chm and should be placed in the same directory as a school's database. It is very large and will be getting larger, so it is not practical to download it to every user's computer. Currently, only the control panel's F1 key will open it, but more major forms will be added soon. Some users on old systems might not be able to view this new help file without downloading an update called HHUPD.EXE from our Downloads page.
We have added a Billing program to Aeries. Billing is a new form designed for schools who need to maintain detailed records of payments made by students against charges from the school. This can be used for tuition billing for private schools or anything else that the FEE table can not handle. More will be added to this program in the future including mass billing students and report and letter generators. The tables used are the BIL (Billing) and PAY (Payments) tables.
Due to space limitations in the AERIES.MDE file, all reports starting with "Print Grade..." are now located in the SCH.MDB. Users who customize these reports need to take note of this and adjust their customizing procedures accordingly. The procedures for implementing customs in Aeries will also be updated.
Social Security Number has been added to the STU table as field STU.SS. This field is a text field so leading 0's will show. Schools should move any Social Security Numbers from SUP to STU. Many new STU fields were added in this update and most of them can be accessed from a new switch side of the Supplemental Data form.
Student Name Alias fields have been added to the STU table. Schools often have these field(s) included in their SUP table. This data should be moved to the new STU fields and the old SUP field deleted.
The split databases version has now been completed. Normal Aeries users will see no difference in the software. Those users who explode the updates directly to their hard drives will have to copy the file AERIES.MDE from the EAGLE folder to the WINDOWS folder of their computer. Customizations to Aeries should all be made to SCH.MDB; but if your customs require changing current Aeries Reports or Modules, please contact Aeries support for further instructions.
AERIES no longer uses "Attached" tables. If your district has custom software that still references attached tables, you should convert your software to use queries instead. Please call Eagle Software for assistance if necessary. You can run the macro "Attach Tables" to temporarily get by this change if necessary. This macro will reattach all your tables to the AERIES software.
Changes to Aeries for CSIS compliance have begun. Ten new tables have been added to Aeries. They are described below:
  • RAL - Record Access Log - This table is used to maintain a record of requests for student information from people or agencies outside your school in accordance with California Ed. Code 49064.
  • RJN - Rejoinders - This table is used to log rejoinders to student information (e.g., parent letter of protest to student's records) in accordance with California Ed. Code 49070(d) and 49072.
  • AUT - Authorization and Prohibitions - This table is used to record specific authorizations or prohibitions to student participation in specific programs.
  • PGI - Parent / Guardian Information - This table is used to store specific information about the parents of students. This data is kept separately from Emergency Contacts because the two can differ.
  • CHI - Course History Institutions - This table is used to record information about schools listed in the School Taken drop-down on the Transcripts form.
  • ACT - Activities and Awards - This table is used to record activities students participate in and awards given to students.
  • STF - Staff - This table is used to store information about staff at each school site. This data, if available, will be used for CBEDS reporting.
  • STA - Staff Assignments - This table is used to store information about staff assignments. This data, if available, will be used for CBEDS reporting.
  • STC - Staff Credentials - This table is used to store information about staff credentials. This data, if available, will be used for CBEDS reporting.
  • ENH - Estimated New Hires - This table is used to record the number of estimated new hires in each subject area for the following school year. This data is used for state reporting.
  • STAR Pre-Identification Form - the PRE-table fields: MC (Multiple Choice Wave) and WW (Writing Wave) were NOT being assigned default values. The Load Students option has been changed to default these to "01"!
    We have added 18 new Student Red Flags. Now every button on the Students form has the ability to be Red Flagged.
    The CASEMIS export function has been updated and tested to be valid. It was producing a file that was being rejected by the state because of a field that was eliminated this year but was missed by us. If you are a district using Aeries to track and report Special Ed data, you MUST have a December 6th or later Access 97 version. If you are an Access 2.0 version school, please contact support for assistance converting a single workstation.
    The STAR Testing Pre-ID form and reports have been changed to match the 2001 STAR input requirements. There have been several changes in the new PRE-ID data, so you should check over your data in the PRE table very carefully. The Print STAR Pre-ID Audit List report will show you what you have in your Pre-ID data before you send it in. Some things to check are as follows:
              The School Mobility and District Mobility grade levels are now taken from the STU table (they appear on the Testing form.)
              The Ethnic Codes have been changed again, and still are not the same as the STU default codes (they are converted for you.)
              Home Language codes have been expanded, and now are the same as in the STU table.
              There are three new program participation codes (EL in ELD, EL in Bilingual, EL in SDAIE)
              NSLP has been added for the school lunch program, and every student has to have a code. The default is 0, no free lunch.
              Asian and Pacific Islander Ethnicity codes have been changed.
              English Language Learner in California Public Schools less than 12 Months is a new field.
              Multiple Choice Wave and Writing Wave are new fields, and the default is 01 - Wave 1.
    Remember that you have a cross reference (XRF) table, which can be used to convert data you have stored in the STU, SUP or FRM tables, to the PRE table. You should check this table carefully since several fields have changed for 2001.
    You are urged to submit a Test File (to the test publisher) well in advance of your actual data file, so you (and we) can be sure the data being submitted is accurate! Please notify us ASAP of any errors you find in the creation of the Pre-ID testing data!
    If you are an Access 2.0 user, you should install Access 97 (and Aeries version 8) on one computer, and do the Pre-ID processing from it. The Access 2.0 version of the Pre-ID form is being deleted, as it is no longer valid.
    At this time, we have converted most of our software to no longer use "attached" tables. Attaching to tables is a lengthy process that most users notice when they switch to a different database, or use a new version of the software for the first time. By eliminating this process, everyone will experience quicker start up, and easier switching between schools or years. However, the conversion does have an element of risk in it, since every single form and report has to be examined and possibly changed in some manner. There is the possibility these changes will create "bugs" which may occur, even though the software is tested by our programmers when it is changed. Please bear with us during this conversion, and if possible, delay downloading new updates until the conversion is complete.
    Conversion of the school software to non-attached tables has begun. Users can set option "Run Unattached" on the Aeries Variables for Current User form to test the various forms and reports using unattached tables. Most forms and some reports have been converted, and the remainder will be converted in the next few weeks. When done, this will allow users to QUICKLY switch between different schools and/or years. If your district has custom software you will need to get it converted to use unattached tables too. Send email to Support@Aeries.com for instructions on making the changes.
    There have been many changes and improvements in the software in the past weeks as a result of the Northern California Users Conference, where we got many good ideas and suggestions. Check out the detailed list of updates to see what has been done. One example is the change to Query that lets you simply check an option to include inactive students. Before, you had to reference the status tag field, for example: IF TG # "~". We have also simplified the reference to ALL student related tables, so you do not have to include the SUP table for the newer tables. If its related to STU, then just type STU and the other table code; e.g.: "LIST STU SPP…".
    We have revised the Assessment reporting system to allow for an (almost) unlimited number of student programs and performance indicators. "Student Program Participation" is a new form, which allows for the assignment of students to many, many different programs, which may or may not have anything to do with assessment. Three new tables were created to hold the new assessment data and setup information. The conversion of your data to the new tables is automatic, so you should not have to do anything (if you already have set up assessment.) New documentation will be coming soon.
    You can now get a report by section or teacher of all students in a class, with their cluster scores for any (STAR) test strand (part number.) For example, you could list all the students in a math class, showing their cluster scores for the Mathematics part of the SAT-9. User must input the section/teacher number and select from a list of available test strands (part numbers). Only the cluster scores that students actually have are listed on the report. These scores are "performance category" scores, which range from 1 for below average, to 5 for above average. Click on the following link to see a sample of this report. Student Test Cluster.htm
    Query will now print a barcode on the output if you use the keyword BARCODE followed by a field name, like ID for ID number. The next field after the keyword will be printed as a barcode on the report (either wide or narrow Query report.) This is handy for printing a list of students which you can use to scan in their ID or student numbers from.
    District Aeries coordinators will be pleased to know there is a new function in Run Timed Procedures that forces the latest school software updates onto the school databases, so the school personnel do not have to run the updates themselves. The same schools that are tagged to be updated in the district database will also be updated with the latest software changes. You are encouraged to test this function using the macro "Update School Databases" which displays all messages on the screen, rather than saving them to a log file. The updates do lock the school databases while they are being updated, so no one at the school can use them. Please call or email Support@aeries.com if you have any questions about the new process.
    If your school or district would like to go back and retrieve the "Augmented Test Items" from the last STAR testing CD, this data can now be placed in your STAR table, and from there it can be updated in the TST table. You can also get the "California Reading List" number placed in your student records. Two new macros handle these one-time functions. (In the future, they will be part of the STAR Test form functions.) The Reading List number now appears on the Test Scores form, on the top line with the other student data. This field (CRL) can also be used with Query. The augmented test items will appear in the TST table, and can be displayed, printed, or used with Query. These items include four raw scores: Reading Cluster/Reading, Reading Cluster/Writing, Math Cluster/Foundation and Math Cluster/Standards. If you need assistance, or have questions, just give us a call.
    There is a new macro/function that districts and schools can use to make all the tables in a prior year's database "read only" so no one can accidentally (or otherwise) update the data in them.
    High Schools will be interested in the new macro "Copy SAT-9 Scores to the OTS Table" which copies the five major SAT-9 Scores (Total Reading, Total Math, Language, Science and Social Science) to the OTS (Other Test Score) table. Then when the transcript is printed, these scores will appear on the transcript (in place of photograph.) Note that this macro ASSUMES that your SAT-9 tests are defined so part 1 is Total Reading, part 5 is Total Math, part 9 is Language, part 15 is Science, and part 16 is Social Science. Check your CTL table to make sure your tests are defined this way. This is how the STAR test results are returned, so most schools should be ok.
    A new table called the Star Cluster Score (SCS) table has been added. This table will contain the STAR testing "cluster scores" from the STAR test results. A new report "Print Student Achievement Test Results with Cluster Scores" shows these scores by "strand" (subtest) and "cluster". Clusters are subject areas such as "Addition and Subtract of Whole Numbers." This report contains the same information as shown on the STAR test reports for individual students, but you can run it this year, for last years tests! Just get your last year's STAR test table loaded, and run the macro "Update STAR Cluster Score Table" to load the new table. Call if you need any additional information, or have suggestions or comments about the new report.
    The Free and Reduced data in the district database is being changed to become a district-owned table. The current revision will copy any existing FRM table data into the new FAR table, which is a district-owned table. In the future, the district free-and reduced data should be updated in the district database, rather than in the school databases.
    Two changes in the software should help solve two of our more persistent problems. The first is the accidental loss of the first student in the school database. The software now stops the deletion of STU records at the Access database level, if the student has one or more ATT records. It should now be impossible to delete a student record, either accidentally or on purpose, if they have even one ATT record. The second problem solved with the latest update is the assignment of two new students to the same ID number. Now when a new ID number is retrieved from the district database, the LOC table is locked while the number is updated. It should not be possible now for two schools to be assigned the same number.
    There is a new form for Interventions and Retentions, very similar to the assertive discipline form.
    For districts that have not yet created their 2000-2001 district database, we have modified the Create New Database function on the Miscellaneous Functions form in the DST.MDE (Access 97.) It now has the option to copy all the data from last year except the STU and related tables. This will set up a new district database with everything you had last year except the STU data which will come in from the school databases. (The DAY table is also deleted.) The master student ID (IDN) table, the enrollment (ENR) table, and the special education and language assessment tables are retained from last year. If you have already created a new district database, be sure you copied these tables from last year.
    There is a new form called the "Master Schedule Board" which is an attempt at replacing the huge boards most schools have to display all their current classes. This form requires your monitor be set at a resolution of 1024 x 768 or higher. The form shows either the MST or SMS master schedule, one semester/trimester at a time. It has all the teachers listed down the left side, and all the periods 0-9 across the top. Where the two join are the classes each teacher has during each period. If they have more than one class, the first one is shown with a plus sign and the number of additional classes. The total students assigned to the teacher is also shown. If you click on this entry with your mouse, a more detailed display is shown of all the data about the classes the selected teacher has during the period selected. You can also list, move or delete any section shown on the display. Naturally, moving or deleting a section can have major consequences, so you need to be careful!
    We added another District Enrollment rule in the District Database that allows a district to qualify a student as inactive from a school when the student's tag (STU.TG) field has a value. This is used for transferring students between schools so that this can be done before the beginning of the school year. When this rule is turned off, Aeries uses a student's enrollment records to determine if the student is inactive at a previous school.
    We have added an hourly attendance report for Community Days Schools called Print Hourly Attendance Report/CDS. This report will calculate BRL and 5th, 6th, 7th, and 8th hour attendance.     A new macro in the DST software now lets you update the STAR test results in the district database, and then copy down the results to all the schools' databases automatically. Each school must have the path to their SCH-----.MDB in the school options record in the DST database. Another new macro copies the STAR test records for each school's students from the district database. Call if you have any questions. As always, make sure you have backups before trying this update!
    There is a brand new Elementary Users Manual on the Downloads page! This manual is to be used in a working environment by Elementary School secretaries. It is very "visual" and full of pictures and diagrams, to help you quickly learn about any Aeries function. The old type of manuals will be referred to as "Reference Manuals" in the future. These will be wordier, and have more depth than the User Manuals. A Secondary version of the Users Manual will be forthcoming, hopefully by this fall. The new manual is the handiwork of Lori Schmitz, our new documentation specialist. It is all in Word 2000 format, and can be printed in color or black and white. The color version is gorgeous!
    We have changed the test score field CE (Curve Equivalent) to an "integer" value, which will allow the score to be saved as two whole digits and one decimal position. In the past, the decimal position was being rounded off. The latest update will change the scores in your school and district testing tables. The purpose is to make the scores totally compatible with the STAR test results. If you have already updated your STAR test results for the current year, you can rerun the Update function and the scores will be re-updated with the one decimal position. (Be sure you backup first!) Call Support if you have any questions about the process.
    The "average" percentile scores shown on the Print Student Achievement Test Results report are now computed from the average curve equivalent scores. The previous method of averaging percentile scores was statistically invalid, and in some cases, actually gave a lower score on the report! Thanks to Gary Johnson of Soledad High School for pointing this out to us, and providing the conversion table.
    Now when you print plain paper locator cards, you can get them "sorted vertically." This means that when they are cut up into four parts, the stacks of locators will all fit together alphabetically! Again, send your thanks to Cam for this great new feature!
    The Security form now allows you to assign users to the group "Others" which has no access to any tables at all. This way you can assign users individual rights to just the tables they need to see. Note: All users will need Read access to the LOC table just to get logged into Aeries.
    A new testing report is available which allows you to select the test ID, date, grade, teacher, which two scores to show, and which of up to ten scores to print on the report. This report is titled "Print Student Achievement Test Results" and is available in the Access 97 software only. There is also an elementary school and district level version of the report. The district version also allows you to select a school. This report replaces five others.
    As soon as you get your STAR test results and update your schools, you can run our API Analysis report to see how your schools have improved compared to the state's API ratings for last year! Let us know ASAP about any problems encountered or any suggestions you have for improvements to the software.
    We have gone back to one SCH.MDB/MDE for our Access 97 software. Users should find this speedier than the two-database version.

    Some of our schools have received their STAR test results back, and we have tested the STAR Test Results form against them. It looks like the form works OK (after the update of 6/12/2000.) There are three steps to the process. First you Load the results from the CD into the STAR table. Then you Match them against your students, and then you Update the students' testing records with the results. Before Update, you should manually assign the correct student numbers to unmatched students. Then they will get updated too. Let us know if you have any problem at all with the process. (Be sure you have backed up your database before starting.)
    We have some new reports and forms to help you in gathering students' test scores on miscellaneous tests. There is a new "All purpose Scanner Form" available from both ScanTron and Scanning Systems, which is used to input the scores. You can either input a one mark rubric score, which is updated in the SAR (Assessment) table, or a two mark raw score, which is updated in the TST (test scoring) table. There are two new reports to print either type of sheet, and two new forms to read either scanner sheet. If you have an immediate need for these, please contact support.
    There is also a new form to input test scores from any outside testing source, and put the data into the TST table. You first get the test data into any Access database and table, with at least a student number (SN or ID) and a test score (RS or PC). Then this form will update the TST table for you. Again, if you need this now, call support. Otherwise, wait for the new testing documentation to come out this summer.
    Our all new elementary manual is almost ready for distribution. Keep watching for an announcement of details for downloading.
    The new Elementary ONLY version of the software is now available for download on the update page. This version is one-half the size of the regular version, has 32 fewer tables to attach, and runs faster for elementary schools. We urge you to try this version and let us know your experiences. Eventually all elementary schools that do not use a master schedule should go on this version of the software. You might want to check your schools to see if any of your elementary schools run as "elementary with a master schedule." Some elementary schools were used to running in this mode with SASI to get some reports, which they no longer have to do. However, if they have higher grades that need the scheduler, etc., then they will need the full version of the software (and will have to pay for secondary support.)
    The new API.MDB database contains the latest API figures from the state. These were revised in April, and now include Capistrano USD.
    You can now do your backups to a Zip Drive or other output media using the new Backup and Restore functions. You can specify the output drive letter and path. The default is "D:\" which might be a Zip Drive or writeable CD. The Restore function also lets you specify the drive and path. The backup file is an exact copy of your current school (or district) database, with a file extension of ".BDB".
    A lot of clerks and secretaries have been waiting for this improvement to the software - the ability to move around on the form using the up and down cursor keys! This has been implemented on the Classroom Attendance forms, Teacher Grade and Progress forms, Period Attendance, Testing, Student Grades and Student Progress forms.     There are two new weekly attendance reports that schools may need to show to auditors. They show any week of attendance for all students, either by teacher for elementary schools, or by class for secondary schools. These were done in cooperation with Kim Clement of the state department of education.
    We are starting development of an elementary grade report, which will be completely flexible as far as the design of the report card. Basically, you design the report card in Word, and assign field codes to all the places where data is to come from Aeries. Then you use the new Elementary Grade Setup form to describe all the fields on the report card (one definition per grade.) Then you use the new Elementary Grade Input form to input the student's grades for the current marking term (up to four.) Then you go back to Word, and use Mail Merge to put the data together with the report cards. More about this will be forthcoming soon, but if you are interested you might look at the new forms. This will all be on display in open forum at the user's conference this month!
    We have decided to allow AERIES to develop along two separate paths: Access 2.0 and Access 97. This will allow the Access 97 version to use new features not available in Access 2.0. Some examples are SQL Server access, Hyperlinks, JPEG photos, etc. The Access 2.0 version will continue to receive all the bug fixes and most new features for the present time. However, Access 2.0 users are urged to plan on converting to Access 97 sometime during the coming year. We are available to help in this conversion in any way possible. The only problem you may encounter is with older slower computers, which may not be capable of running Access 97 well. It does require Windows 95, 98 or NT as well as more memory and a faster computer. The benefits to be gained are numerous however, especially in the area of database corruption, which occurs much less frequently under Access 97. There is a (free) runtime version of Access 97, which you can download from our update page.
    We have developed a new report that gives a detailed analysis of how your school's API (Academic Performance Index) score was computed. It requires your SAT-9 test scores for last year. The final score may be slightly off from the state's score due to several factors. The main reason is that some test results usually cannot be matched to a student in your school's database. These students were counted by the state however, making for a difference in the total students tested. We will probably add other reports dealing with the API in the future. Your comments and suggestions, as always, are welcome.
    We have added a feature to the scheduling system, which should allow you to delay creating next year's database until school is over for the current year! This is the ability to schedule students in the current year's database for classes next year. Scheduling students into their classes for next year is really the only reason you have ever needed to create a database for next year (before the end of this year.) Now you don't have to do this, and can eliminate all the extra work involved in maintaining student data in two different databases during this part of the year! Read on…
    The form AERIES Variables for Current School uses option N set to 1 to denote that you are scheduling for next year. Then when the scheduler runs, it internally adds one to each student's grade level prior to scheduling them into classes. Students pre-enrolled for next year (tagged *) are also scheduled automatically. Several of the scheduling forms show in big red letters when you are scheduling for next year. We will probably need to fine-tune this process as we go, but it should be usable right now! Call if you have any questions. Your comments and suggestions, as always, are solicited.
    You can print a report showing all the changes made to the AERIES software by clicking on Print any Aeries Report on the Miscellaneous functions form, and then on "Print Aeries Software Revision History". This is a VERY detailed explanation of all the changes made to the software during the past three to four months.
